Privacy Policy
Last updated: September 29, 2026
This Privacy Policy describes how Tankerflow, LLC ("Tankerflow," "we," "us," or "our") collects, uses, and shares information when you use www.tankerflow.com, our applications, our emails and messages, and our related products and services (the "Services"). By using the Services, you acknowledge the practices described in this Privacy Policy. Your use of the Services is also governed by our Terms of Service.
1. Who This Policy Covers
Tankerflow is a business platform that connects tank-truck fleets with tank wash facilities. This Privacy Policy covers:
- Fleet users, such as dispatchers, drivers, and fleet managers.
- Wash facility users, such as owners, managers, and staff.
- Visitors to our website.
- People whose information our users give us, such as drivers named on a booking, teammates invited to an organization, and shippers, receivers, and other recipients of wash documents.
- Contacts at wash facilities listed in our directory, whether or not the facility uses the Services.
The Services are built for businesses, and most of the information we handle is about people acting on behalf of a company. If you use the Services on behalf of an organization, that organization controls your account and can access, change, or remove information associated with it. The organization's own policies govern how it uses information it receives through the Services.
This Privacy Policy does not cover third-party websites or services, or the fleets, wash facilities, shippers, receivers, and other businesses that receive information through the Services. They handle information under their own policies.
2. Information We Collect
Information you give us
- Account information: name, email address, phone number, job title, organization, role, sign-in details, and account settings.
- Organization information: organization name and type, members, roles, and invitations.
- Facility information: facility names, addresses, locations, hours, phone numbers, websites, certifications, bays and the washes each bay can take, services, prices, photos, and ownership claims.

- Cookies and similar technologies: see Section 5.
Information from other sources
- Your organization and other users: for example, when an admin invites you or when a fleet names you as the driver on a booking.
- Public sources: we build and update facility listings from public information, such as business websites, online directories, maps, and certification programs.
- Service providers: such as our sign-in provider, our payment processor (including identity verification and fraud checks), and our mapping providers.
- Integrations you connect: such as transportation management, telematics, electronic logging, and accounting systems, including vehicle location and trip data.
- Marketing and data partners: business contact and company information that helps us find and reach fleets and wash facilities that may be interested in the Services.
We may combine information from these sources and draw inferences from it, such as the facilities, routes, and services you are likely to use.
We do not ask for sensitive personal information, such as Social Security numbers or health information, unless a feature specifically requires it. For example, our payment processor may collect government identifiers to verify identity before sending payouts. Please do not submit sensitive personal information unless we ask for it.
3. How We Use Information
We use information for our business purposes, including to:
- Provide, operate, and maintain the Services, including accounts, organizations, facility listings, claims, route search, availability, bookings, payments, receipts, and wash certificates.

- Contact fleets and wash facilities, including facilities listed in our directory, about joining or using the Services.
- Understand how the Services are used, and research, develop, and improve our products, features, and pricing.

- Carry out any other purpose we describe when we collect the information, or with your consent.
We may use artificial intelligence tools, including tools provided by third parties, for any of these purposes.
We may create aggregated or de-identified information that does not identify you, and we may use and share it for any purpose, such as industry reports, benchmarks, and pricing insights.
4. How We Share Information
We share information in the following ways:
- Within your organization: admins and members of your organization can see information based on their roles, such as bookings made by teammates.
- Between fleets and wash facilities: when a booking is placed, changed, paid for, or cancelled, the other side receives the booking details and the names and contact details needed to handle it.
- Publicly: facility listings, including facility names, addresses, hours, phone numbers, websites, certifications, bay capabilities, services, and prices, are public on our website and may appear in search engines. Anyone who has a receipt or wash certificate, or a link to one, can view it and verify that it is authentic.
- With recipients you choose: such as shippers, receivers, brokers, and customers you send receipts or certificates to, and third-party applications you connect.
- With service providers: companies that perform services for us, such as hosting, database, sign-in, maps and routing, address search, email, text messaging, analytics, session replay, error monitoring, payments, customer support, artificial intelligence, and marketing providers.
- With payment processors: when you pay or get paid through the Services, a third-party payment processor handles the transaction and uses your information under its own privacy policy.
- With advertising and marketing partners: companies that help us advertise the Services and measure the results, which may collect information through cookies and similar technologies on our website.
- With business partners: companies we work with to offer integrations, joint services, or promotions related to the Services.

- In business transfers: in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of our business or assets, including during negotiations and due diligence. Information may be transferred as a business asset.
- For legal and safety reasons: with law enforcement, government authorities, courts, and others when we believe it is required by law or appropriate to protect the rights, property, or safety of Tankerflow, our users, or others.
- With professional advisors: such as lawyers, accountants, auditors, and insurers.
- With your consent or at your direction.
We do not sell personal information for money.
5. Cookies and Tracking
We and our partners use cookies, pixels, local storage, software development kits, and similar technologies to keep you signed in, secure the Services, remember your preferences, understand how the Services are used, record sessions, and advertise the Services and measure the results. Some of these partners may collect information about your online activity over time and across different websites.
You can block or delete cookies in your browser settings, but parts of the Services, including sign-in, may stop working. You can opt out of interest-based advertising from participating companies at optout.aboutads.info and optout.networkadvertising.org.
The Services do not respond to Do Not Track signals. Where applicable law requires us to treat a Global Privacy Control signal as an opt-out request, we will do so.
6. Emails, Text Messages, and Calls
Service messages. We send booking, account, security, payment, and other service messages as part of the Services. You cannot opt out of them while you have an account.
Marketing emails. You can opt out of marketing emails at any time by using the unsubscribe link in the email or by contacting us. Opting out of marketing does not stop service messages.
Text messages. If you give us a mobile number and agree to receive text messages, we may text you about bookings, your account, and the Services. Message frequency varies, and message and data rates may apply. Reply STOP to opt out or HELP for help. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Sharing with subcontractors that support our services, such as customer service and message delivery, is permitted. All other sharing described in this Privacy Policy excludes text messaging originator opt-in data and consent, and this information will not be shared with any third parties.
Calls. We may monitor or record calls with you for quality, training, and record-keeping purposes, with notice where the law requires it.
7. Public Listings and Shared Documents
Facility listings are business information. We may publish and update a facility's listing whether or not the facility uses the Services, and a facility's contact details appear on its listing. A facility can claim its listing to manage it, or contact us to correct it.
Once you share a receipt, wash certificate, or other information with someone, they may keep, use, and share it under their own practices, and we cannot control what they do with it. Share documents only with people you intend to see them. We may keep wash certificates verifiable after an account closes.
8. How Long We Keep Information
We keep information for as long as we have a business reason to keep it, which may continue after your account closes. Bookings, payments, receipts, wash certificates, and facility claims and approvals are records that other organizations rely on, so we keep them, along with the names and contact details they contain, even if you delete your account or leave your organization. We also keep information to comply with the law, resolve disputes, prevent fraud, enforce our agreements, and maintain backups. We may keep aggregated or de-identified information indefinitely.
9. Security
We use reasonable administrative, technical, and physical measures designed to protect information. No method of storage or transmission is completely secure, and we cannot guarantee the security of any information. You are responsible for keeping your sign-in details secure and for telling us promptly at support@tankerflow.com if you believe your account has been compromised. If a security incident affects your information, we will notify you as required by law.
10. Your Choices and Requests
Update your information. You can update your account and facility information in the Services. Some changes can only be made by an admin of your organization.
Delete your account. You can delete your account in the Services or by contacting us. Deleting your account ends your access, but it does not delete the records described in Section 8.
Other requests. You can ask to access, correct, or delete your personal information by emailing support@tankerflow.com. We will need to verify your identity and your authority to make the request. We may decline or limit a request where the law allows, such as when we need to keep records that other organizations rely on. If your information is part of an organization account, we may refer your request to that organization.
State privacy rights. Some U.S. states give their residents rights over their personal information. Many of these laws do not apply to information about people acting in a business role, or to companies of our size. Where a state privacy law applies to us and gives you a right, we will honor that right as the law requires, including any right to appeal our decision. You may use an authorized agent where the law allows. We will not discriminate against you for exercising a right the law gives you.
11. Children
The Services are intended for business users who are at least 18 years old, and they are not directed to children. We do not knowingly collect personal information from children under 13. If we learn that we have, we will delete it. If you believe a child has given us personal information, contact us at support@tankerflow.com.
12. Where We Process Information
Tankerflow is based in the United States and offers the Services in the United States. We and our service providers may store and process information in the United States and other countries. If you use the Services from outside the United States, you understand and agree that your information will be transferred to and processed in the United States, where privacy laws may differ from those where you live.
13. Third-Party Services
The Services link to and work with third-party websites, applications, and services that we do not control, and their own terms and privacy policies apply. We are not responsible for their practices. Some address search features use Google Maps Platform, and Google's use of information is governed by the Google Privacy Policy.
14. Changes to This Privacy Policy
We may change this Privacy Policy at any time. When we do, we will post the updated version on this page and update the date above. If we consider a change material, we may also notify you by email or in the Services, and we will ask for your consent where the law requires it. Changes take effect when posted unless we say otherwise, and your continued use of the Services after that means you accept the updated Privacy Policy.
